|24/05/2021||Validation error 2500 where pupil has attendance code Y for the whole of the Spring term
The School Census Summer 2021 application is not including the required attendance code Y total for a pupil when that pupil has been assigned the Y code for the whole of the Spring term 2021. The absence of attendance data triggers validation error 2500 for the pupil.
Consolidated Database Patch 2 will ensure that attendance code Y is reported in the census even when the pupil has the Y code for the whole of the Spring term.
This has been released by Capita so please get in touch if you require this patch.
Where a term time address, a home address and a second home address are stored for a pupil in SIMS 7, the term time address and the second home address are being reported in the census return. Our census application deals with all other possible address combinations as expected.
Patch 26284 is available and ensures that term time address and home address are reported in the census return when term time address, home address and second home address are stored for a pupil in SIMS 7.
Capita believe that pupil term time addresses are only common for boarding schools, but if you believe that there is any chance that all these three addresses have been stored for one or more pupils in a school, they recommend applying this patch.
Patch 26284 will be included in Consolidated Database Patch 2 (Patch 26539). It will also be included in the SIMS 7 Summer Release 2021, so that it is in place for School Census Autumn 2021.
|20/5/2021||DfE validate query 2485Q (Pupil attendance indicates they are excluded but no exclusion is recorded)
Some schools have been surprised that this DfE validation query has been triggered for their summer census return. An important point to note is that the DfE has set this validation to be a ‘query’ rather than an ‘error’, which means that they understand that there will be situations where the validation will be triggered and no action other than a note on COLLECT is needed.
Capita’s investigations have identified two reasons for this validation to trigger without the explanation being obvious for schools.
The DfE validation does not take account of exclusions that are included in the return, but have a start date in calendar year 2020. Hence, attendance code E will be found in calendar year 2021 for an exclusion that started in calendar year 2020 and continued in calendar year 2021, but the exclusion record will not be taken into account by the DfE validation.
The school has excluded a pupil for a fixed term, which has resulted in attendance code E being added, but a review has resulted in reinstatement. The DfE validation will then find attendance code E without an exclusion, as exclusions where the pupil is reinstated are not included in the census return.
|13/05/2021||Leaving date is not being included for pupils who left when they had an enrolment status of ‘Dual – Subsidiary Registered’
Validation error 1920 (Pupil’s leaving data is either missing, before entry date or equal to or after census date) is being triggered for a pupil who left with when their registration status was ‘Dual – Subsidiary Registered’. This is being caused by the DOL (Date of Leaving) not being included in the return when a pupil left when their registration status was ‘Dual – Subsidiary Registered’.

Capita have released Fileset 1802 and further information can be found here.
|30/04/2021||Version 2021.1.7 of the DfE validation and summary report files
Version 2021.1.7 of the DfE validation and summary report files were provided to Capita on Friday the 23rd April and they expect to be able to make these available via Fileset 1802 during the week beginning 03/05/2021.
The DfE has contacted Capita to let them know that they have found issues when testing their validation. The DfE will be providing a date this week (week beginning 19th April) for the expected release of their fileset. Capita will provide us with this expected date and we will update this bulletin when we receive this information.
