Hosted Applications – Quickletter Template

In a normal school environment where each member of staff has their own computer with a local copy of SIMS .net installed.  Each member of staff had their own custom version of the Quickletter template which could be customised with the persons initials or department branding.

On a hosted environment this has not been possible since the server that is used can be dealing with up to 50 users from different schools.  Therefore each person using the service could only a generic Quickletter template.

However a facility has been incorporated within the SIMS .net application to allow custom Quickletter Templates in a hosted environment.  Scomis have been able to further extend this functionality to allow each member of staff to have their own QuickLetter Templates.  This can be useful if you wish to have a staff reference code on the letters.

One Template for everyone in the School

  • Use the QuickLetter Edit Shortcut.
    (if the school hasn’t already been setup to for unique quick letter documents, the program will setup this up for you.)
  • Microsoft Word will automatically open the current QuickLetter Template.
  • Make your changes to the QuickLetter and Save and Close Word.
  • Log out of Terminal Server, then log back in.
  • Part of the Logging on process will copy the updated QuickLetter Template into your My SIMS Documents.

Individual Template for Staff
(Slightly more complex)

  • Use the QuickLetter Edit Shortcut.
    (if the school hasn’t already been setup to for unique quick letter documents, the program will setup this up for you.)
  • Microsoft Word will automatically open the current QuickLetter Template.
  • If you have a generic template, update it to your school letter head. Save and Close Word.
  • Open File Manager
  • Browse to F:\PUBLIC\SIMS\QuickLetter
  • Create a copy of the QuickLetterTemplate.doc file
  • Rename the copy to <username>_QuickLetterTemplate.doc.  e.g. “joe.bloggs99_QuickLetterTemplate.doc”
  • Double click on the <username>_QuickLetterTemplate.doc, make any staff specific changes, then Save and Close Word.
  • The individual QuickLetterTemplate will be copied into the users My SIMS Documents when they next login.
