How to change student enrolment status to Guest without losing the attendance data

************PLEASE NOTE: This FAQ is to be followed entirely at the risk of the school and Scomis is not held responsible for any data lost. Failure to follow all steps correctly may result in the attendance data being removed. A warning message will appear on the screen to accept before any changes are saved and we advise to print attendance data beforehand in case of the event that the attendance data has been removed********

 

To change the enrolment status from Single Registration, Main Dual Registration or Subsidiary Dual Registration to GUEST without losing attendance data you must make the student a leaver and readmit them and then change the enrolment status please follow the instructions below for how to do this:-

1. Focus | Student | Student Details – select student

Tab 10 School History – Input the Date of leaving and Reason for Leaving and save.

By doing this the student will no longer appear on roll and will only come up as a leaver.

2. Focus | Student | Student Details | NEW

Enter the details for the child and select continue.

Select the child from the matched people. Message will appear “The selected student is a leaver. Do you want to readmit the student” select Yes

When you do this the student will still be of the original enrolment status (Single Registration, Main Dual Registration or Subsidiary Dual Registration)

Save the record then go to

3. Routines | Student | Change Enrolment Status select student and change to GUEST

Save

You will get a message: Student’s current enrolment status will be changed from ‘Single Registration’ to ‘Guest pupil’. All previously recorded session attendance marks will be deleted. Do you wish to continue? Say Yes to this (the attendance data will remain for the period before you made them a leaver)

You will not lose all the attendance data e.g. when the child was previously on roll.

PLEASE NOTE IF YOU CHANGE THE STUDENT STRAIGHT TO GUEST WITHOUT DOING THE ABOVE YOU WILL LOSE ALL PREVIOUS ATTENDANCE DATA.
